Your action plan

We suggest that owners begin preparation of their property sooner rather than later. The key is to make arrangements in good time to ensure a smooth and trouble-free letting.

Will you be unavailable during the letting period?
An owner who will not be available during the letting period must provide full contact details of a nominated representative who is authorised to make decisions on their behalf.

These details must be notified to us in writing by 1 June 2010 and should also feature prominently in the ‘Home File’.

Meeting the tenants
You as owner or your nominated representative must be available to meet and greet your tenants on Saturday 10 July 2010 (or pre-arranged arrival date) and arrange the check out inspection on Monday 19 July 2010.

Where this is not possible – and only in exceptional circumstances – we will require a set of front door keys to be deposited at our offices by Monday 5 July 2010 for collection by your tenant.

Keys
Please clearly mark all keys and leave them in the property’s kitchen, along with the ‘Home File’. You must provide one front door key for each bed let.

Alarms
Details of property alarms must be provided in writing, with maintenance contracts and telephone point of contact. These details must also be available to the tenant and placed in the “Home File”

Inventory and Schedule of Condition
We strongly advise that a detailed Inventory and Schedule of Condition is prepared to reflect accurately the content and condition of the property and its effects and is discussed with your tenants on arrival.

Safety requirements
Copy documentation confirming the Safety Legislation requirements will need to be provided to us by the 5 April 2010 at the latest.

Emergency repairs
In cases of emergency, where it has not been possible to contact either the nominated representative or the homeowner, we reserve the right to carry out emergency repairs within the contingency of the 20% that has been retained for payment to the owner after the period of let.

Telephone charges
Owners must contact BT or their alternative service provider and ensure that their account bill is itemised for the period of the occupancy and that a copy bill is available at our offices within 14 days of the end of the occupancy at which time the tenant’s deposit will be utilised to settle outstanding accounts.

The telephone rental is included within the gross rent chargeable for the period. Only monitored calls can be charged to the occupiers (we are unable to process claims under £30.00).
